Job Description- Operations Assistant

Job Summary:

The Operations Assistant performs a variety of clerical, recordkeeping, and customer service tasks to assist with the smooth operation of the organization.

Reports To: Candy Hente, Executive Director/CEO, Farmington Regional Chamber

The Operations Assistant is the “front line” employee for the Chamber office. This professional will greet and assist the public, both in person and on the phone, and handle a variety of information requests. They will also provide Chamber members with services, as outlined in membership documents. The attitude of the Operations Assistant is critical to the successful performance of these tasks. The Operations Assistant should be familiar enough with all aspects of the Chamber to ensure uninterrupted delivery of service to the members.

The Operations Assistant is accountable to the Executive Director for the effective implementation of all projects within the scope of this position; however, he or she must be able to think critically, work independently, and make decisions when necessary.

The Operations Assistant must be a motivated, energetic, creative individual with an excellent attitude who possesses the ability to plan and execute tasks in an organized and timely manner with minimal supervision. He or she must also be able to effectively manage multiple tasks simultaneously in a busy environment, to remain flexible to changing work demands, and to function calmly and productively under stress.

The Operations Assistant will serve as the staff support person for all Chamber events, retail promotions, fundraisers, seminars, membership campaigns, retreats, social events, and special meetings. The Operations Assistant will facilitate activities of the Farmington Regional Chamber aligned with the Chamber’s mission and the goals and objectives set forth by the Executive Director and Board of Directors. The Operations Assistant will be a representative of the Chamber in this role and shall act in accordance with the provisions outlined in the bylaws and policies.

Supervisory Responsibilities:

  • None.

Duties/Responsibilities:

  • Greets and directs clients and visitors.
  • Makes appointments and referrals.
  • Answers phone calls and emails.
  • Receives, records, and distributes packages and mail.
  • Update, compile and mail relocation packets.
  • Copies, collates, and otherwise prepares reports for mailings, meetings, and other correspondence. 
  • Utilize and update the chamber management database.
  • Composes weekly newsletters in Constant Contact
  • Performs other related duties as assigned.

Required Skills/Abilities:

  • Ability to greet visitors, clients, and colleagues in a friendly and courteous manner.
  • Ability to type at least 50 wpm.
  • Ability to proofread.
  • Proficient in Microsoft Office Suite or similar software.
  • Basic understanding of office equipment.
  • Basic understanding of and quick learner of various technology platforms, including Constant Contact, Canva, databases, and basic website updates.
  • Basic understanding of clerical procedures and systems, such as recordkeeping and filing. 
  • Ability to work independently and identify and solve problems. 
  • Ability to organize and prioritize work.

Education and Experience:

  • High school graduate.
  • 1 year of clerical work experience.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
