Part-Time Law Enforcement Academy Admin Assistant
Position Summary
Working about 19 hours per week, assisting with organizational and clerical tasks for the department.
Key Performance Indicators
- Respond to requests and send correspondence for the department timely
- Provide department information and maintain accurate knowledge of programs
- Assist with student and employee applications and materials securely as directed
- Maintain accurate records
Essential Functions
- Handle administrative duties for the Director, assist department faculty and staff.
- Type letters, documents, and other correspondence for Law Enforcement Academy and Criminal Justice programs.
- Have tests, forms, and other items printed and/or duplicated and collated as and when needed.
- Coordinate testing and organize schedules and records for POST.
- Assist LEA and CJ students with enrollment.
- Maintain LEA and CJ student records.
- Serve as receptionist for the LEA and CJ programs.
- Greet and assist members of the general public as a representative of the department.
- Provide general information to prospective students.
- Prepare certificates for Law Enforcement Academy Continuing Education.
- Communicate with MAC faculty and POST regarding class schedules.
- Process follow up correspondence to students who have applied to department programs.
- Assist with supervision of work study students assigned to the department.
- Assist with LEA graduation, i.e.: send invitations and assist with ceremony planning and preparation.
- Perform other related duties and responsibilities as assigned.

Interpersonal skills:
Ability to communicate diplomatically, clearly, and effectively both verbally and in writing with a wide variety of people.
Ability to organize and express instructions in a logical sequence to describe how something works or explain how to perform a task.
Technical skills:
Excellent computer skills including proficiency with Microsoft Office, Access, PageMaker, Adobe Acrobat Pro, and spreadsheet software.
Proficient writing skills to create letters, summaries, and professional reports. Ability to examine documents for accuracy and completeness.
Experience
Education:
Associate’s degree or two years directly related work experience preferred.
Work Experience:
Highly skilled, directly related office experience preferred.
Industry Knowledge:
Experience in higher education, general office experience and familiarity with the local law enforcement community preferred.
Work Environment and Physical Requirements
Working in a professional office environment, this position requires sitting, standing, stooping, kneeling, reaching, walking, pushing, pulling, light lifting, grasping, talking, seeing, hearing and repetitive motion.
